What are the Exhibit Hall hours?

Is there a Family Hour?
Yes. Saturday, January 23 from 4:30–6:30pm in the Exhibit Hall (Levels 6 and 7). Children accompanied by a registered adult attendee are welcome during this window; all other conference spaces remain restricted to registered attendees, and children must be supervised at all times.

I'm a DPM exhibiting at NY27 — can I attend the scientific sessions?
Not automatically. DPM exhibitors are only admitted to the scientific sessions if they are separately registered as a meeting participant, in addition to their exhibitor registration.
Booth Registration, Pricing & Deadlines
When does booth registration open?
Late Summer 2026. The floor plan is currently for viewing purposes only, and no requests can be accommodated until registration opens.

What's included with a booth?
A 10x10 space (unless noted otherwise), side and back drape, one 7"x44" ID sign, one six-foot skirted table with two chairs, registration for up to 5 company reps, a listing in the onsite program/online exhibitor directory/floorplan/meeting app, and a post-conference attendee list (first name, last name, mailing address — no phone/fax), distributed within 10 business days after the conference.
What's NOT included?
Power or Wi-Fi, shipping/receiving/delivery, set-up and cleaning, custom furniture or signage, and lunch for reps. All add-ons are detailed in the Exhibitor Manual.
Is lead retrieval available?
Ordering information for lead retrieval will be included in the Exhibitor Manual, distributed via email in mid-November.
What are the payment deadlines?
A 50% deposit is required to reserve space. Full payment is due by November 1, 2026. NYSPMA reserves the right to cancel unpaid booths without refund after that date.
What's the cancellation policy?
Cancellations must be submitted in writing. Refunds (less a 10% processing fee) are available through November 6, 2026. No credit or refund is given for cancellations after that date.
How many staff can I register per booth, and is there a deadline?
Each booth includes 5 complimentary reps. All reps must be pre-registered by January 14, 2027 — failure to do so incurs a late fee. Each additional rep beyond the complimentary 5 is subject to a $100 fee. Onsite registrants are also charged $100, with no exceptions for vendor guests. Rep substitutions made online before January 19, 2027 incur no additional charge; onsite substitutions will incur a fee. Once a badge has been printed, exhibit personnel registrations are non-transferable.
When and where do exhibitor reps pick up their badges?
Thursday, January 21, 2027, during Registration hours. Badge pickup may not be available outside those hours due to high-volume attendee badge printing, so plan to have all reps badged before the exhibit hall opens.
When does rep registration open, and how does it work?
Online exhibitor booth staff registration opens in late Fall 2026. All confirmed and paid exhibitors will be emailed a password to access the registration system.
Do I need to book my hotel room through NYSPMA?
Yes. Exhibitors requiring sleeping rooms must book within the official NYSPMA/Foundation room block at the Marriott Marquis. Booking outside the block carries a $300 fee. Companies that fail to book within the block will also be assessed a $500 non-compliance fee, applied to their invoice for the following year's conference and due before that year's booth assignment is confirmed. Only book through links provided directly by NYSPMA/The Foundation; other "official" housing offers should be reported to nyclinicalconference@nyspma.org.
What's the room block information for NY27?
The Foundation for Podiatric Medicine/NYSPMA group rate is $258++. The deadline to reserve a room within the block is Friday, December 25, 2026 at 4pm EST.

Installation, Dismantling & Shipping
When can I set up my booth?
Installation is between 10:00am–5:00pm on Thursday, January 21, 2027. All booths must be fully set up by 8:30am Friday, or GES will set them up at your expense.
When can I break down my booth?
Not before 10:30am on Sunday, January 24 (a $250 early-dismantle fee applies if you do). All booths must be fully broken down by 2:00pm Sunday, or additional GES fees apply.
What happens if I leave my booth messy?
A $150 clean-up charge applies if the booth isn't left free of materials, boxes, trash, etc. after dismantle.
Who handles shipping and freight?
Global Experience Specialists (GES) is the exclusive contractor for all inbound/outbound shipping, warehouse deliveries, and show-site freight. Using another carrier is at your own risk — NYSPMA and GES assume no responsibility for loss, damage, or delay outside the official GES program. Contact GES at www.ges.com/chat or 800-475-2098; the Exhibitor Manual goes out via email in mid-November 2026.
Rules & Regulations Highlights
Can I run my own event or meeting elsewhere in the city during NY27?
No — this is strictly prohibited. Exhibitors may not host or divert attendees to competing meetings, functions, or educational programming during show hours. If you cancel your booth and hold a non-official event instead, you lose seniority for future conferences and are assessed liquidated damages equal to 100% of the lost revenue.
Can exhibitor staff scan a DPM's badge for CECH credit?
No — this is strictly prohibited. Any exhibitor rep who scans a badge at a CECH station will be escorted off the floor, and the booth will be closed immediately with no refund.
Are there noise/display restrictions?
Yes. Sound presentations must stay at low decibel levels, and in-line booth displays are capped at 48" high (the back wall may go up to 8 ft, at half the booth's depth), per IAEE guidelines.
Who's responsible for my products/equipment if something is lost or damaged?
The exhibitor. NYSPMA, GES, and the Marriott Marquis do not provide insurance for exhibitor property and aren't liable for loss or damage from any cause.
Can I solicit business outside my booth?
No. Solicitation is strictly limited to badged individuals within your registered booth — not in public areas of the hall or hotel.
NYSPMA Lounge
Can I come to the NYSPMA Lounge and buy drinks for my customers?
Yes! You can also purchase drink tickets in advance with your company's logo to hand out throughout the day at your booth.
